Code of  conduct and Joining Instructions

 

1. Joining procedure

Following a complimentary training session, the procedure for joining is as follows:

Contact the current enrolment team member to provide all required contact and next-of-kin details.

Download the Spond and WhatsApp applications through your usual app provider.

Set up your monthly standing order. This can be paused at any point when agreed with the club.

2. Spond and WhatsApp

The club currently uses Spond and WhatsApp to communicate training sessions, matches, tournaments and other club events. Once you have joined, you will be asked to download both applications.

Each training session and event will be posted on Spond. It is important that you accept or decline each invitation promptly, as this helps the club arrange suitable sessions for the number of players attending.

Political messages and any other generally inappropriate messages must not be posted in the club's WhatsApp group.

3. Expectations

All members are expected to:

Place the wellbeing, safety and enjoyment of every player above everything else, including winning.

Uphold the good reputation of Weymouth Walking Football Club.

Treat other members with respect, both on the pitch and online.

Treat referees and other match officials with respect at all times.

Confirm attendance at training by responding on Spond.

Arrive at training at least 10 minutes before the start time, with moulded boots and shin pads.

Remember that the club is run by volunteers. Players are expected to help with practical tasks, including replacing the goals, collecting footballs and, occasionally, washing the bibs.

When selected for tournaments or other competitive matches, treat match officials and opposition players with respect and follow the Laws of the Game at all times.

4. Fees

There is currently no joining fee. Members are expected to pay their game or training fees monthly or weekly by standing order. Fees are reviewed annually by the Executive Committee and agreed at the Annual General Meeting.

The monthly fee covers training events and competitive matches. Paying members are covered by the club's insurance when representing the club.

5. Officers of the club

The current officers are:

Chair - Steve Tingle

Secretary and Tournament Secretary - Paul Stevens

Treasurer - Gary Little

Officers are elected annually for a term of one year at the Annual General Meeting. All officers retire each year but are eligible for re-election. The Committee may co-opt a member to fill a vacancy until the next AGM.

6. Committee

The club is managed through a Committee.

Only these officers have the right to vote at Executive Committee meetings.

The Committee will meet no fewer than four times each year. Meetings will be open to the membership unless the Executive Committee determines that a matter must be considered in camera.

The quorum required for Committee business to be agreed is three.

The Committee is responsible for adopting new policies, codes of conduct and rules affecting the organisation of the club.

The Committee may appoint sub-committees and advisers as necessary to fulfil its business.

The Committee is responsible for disciplinary hearings involving members who infringe club rules, regulations or the constitution, or who breach the conditions of the club's permit.

The Committee may take appropriate action, including suspension or other disciplinary measures, following such hearings.

7. Finance

All club monies will be banked in an account held in the name of the club.

The Club Treasurer is responsible for the club's finances.

The club's financial year ends on 30 June.

A statement of annual accounts will be presented by the Treasurer at the Annual General Meeting.

8. Annual General Meetings

Notice of the Annual General Meeting will be given by the Club Chair, with no fewer than 14 clear days' notice given to all members.

Nominations for Committee officers must be sent to the Secretary no later than seven days before the AGM.

Elections of officers will take place at the AGM.

The AGM will receive a report from each officer of the Executive Committee and a statement of the accounts.

Only fully paid-up members of Weymouth Walking Football Club who pay their fees by monthly standing order have the right to vote at the AGM.

The quorum for an AGM is 25% of the membership on the day of the meeting.

The Committee may call an Extraordinary General Meeting at any time. The membership may petition the Committee to call an EGM when the petition is signed by 25% of the membership. The procedures for an EGM will be the same as for an AGM.

9. Discipline and appeals

Complaints about the behaviour of members must be submitted to the Committee in writing.

The Committee will meet to hear a complaint within 30 days of it being lodged.

If a complaint is upheld, the Committee may take appropriate disciplinary action, including termination of membership.

The outcome will be provided in writing to the person who lodged the complaint and the member or members concerned within 30 days of the hearing.

A member has the right to appeal disciplinary action. The appeal must be lodged with the Committee within seven days of the original outcome being notified.

The Committee will consider the appeal within 30 days of receiving it.

The Committee or the member concerned may request that the appeal is heard by three ordinary club members who were not involved in the first stage of the complaint.

10. Dissolution

A resolution to dissolve the club may only be passed at an AGM or EGM by a majority vote of the membership.

If the club is dissolved, any assets remaining after all liabilities have been discharged will be transferred to another organisation proposed by the General Committee and approved by the members, with objectives as similar as possible to those of the club. If no suitable organisation can be identified and agreed, the assets will be transferred to a charity approved by the members.

Amendments to the constitution

The constitution may only be changed by a majority vote at an AGM or EGM. The quorum for an AGM is 25% of the membership on the day of the meeting.

11. Declaration

Weymouth Walking Football Club adopts and accepts this constitution as its current operating guide regulating the actions of members.
